About The Position

The Executive Assistant III will perform a wide variety of administrative, secretarial, and clerical tasks to support the U.S. Department of Energy (DOE) Office of Environmental Management (EM) Office of Intergovernmental & Stakeholder Programs (EM-4.3) in a dynamic environment.

Requirements

  • U.S. citizenship
  • Eight years of commensurate experience in related duties and responsibilities.
  • Note: Education and experience may be substituted for each other. Each year of experience may be substituted for one year of education, and vice versa. Additional certifications, professional licenses and vocational training may be substituted for experience and education.
  • Eight to eleven years of experience as an administrative assistant supporting EM or DOE.
  • Proficiency in DOE corporate systems such as ESS, ATAAPS, Concur Government Edition, and eDOCs.
  • Proficiency in Office 365 Productivity Suite to include Outlook, Word, Excel, PowerPoint, SharePoint, and Teams.
  • Proficiency in Adobe Acrobat to view, create, manipulate, print, and manage files; and route for e-signatures in a portable document format (PDF).
  • Ability to obtain DOE L or Q clearance may be required.
  • Must be self-motivated, willing to take on new challenges, and able to quickly learn and understand EM's business processes and DOE computer systems for processing correspondence, travel, time and attendance, and conference management-related items.

  • Exhibit a high degree of professionalism in the production of deliverables and interactions with fellow employees and client personnel.
  • Possess a highly focused, results-oriented individual with good interpersonal skills in dealing with high-level management and technical personnel.
  • Ability to work independently and with initiative.
  • Uses sound judgement and discretion when effectively and efficiently coordinating with others to obtain information.
  • Display a professional customer services attitude.

Responsibilities

  • Acts as an executive-level resource for high-level administrative functions on projects.
  • Works closely with executives and project managers on completion of tasks and deliverables.
  • Serves as a liaison with other EM offices and DOE organizations in the resolution of day-to-day administrative and operational problems.
  • Works independently or within a team on special nonrecurring and ongoing projects.
  • Manages special assignments as directed.
  • Plans and coordinates multiple presentations, as well as disseminates information, training manuals, proposals, charts, graphs, procedures, and correspondence.
  • Schedules, organizes, and manages complex activities, coordinates meetings, creates and develops visual presentations, compiles, and prepares reports.
  • Manages electronic records and data.
