Requirements

  • High school education or equivalent; some college level education highly preferred.
  • Typically requires a minimum of 9+ years general administrative experience, or equivalent combination of experience and college level education.
  • Advanced general administrative skills/knowledge required at an upper executive level.
  • Experience supporting multiple project administrative requirements.
  • Specific advanced software skills as required by the division.

Responsibilities

  • Perform general administrative support tasks involved in an organization.
  • Assist supervisory and nonsupervisory employees with various administrative support tasks.
  • General filing and records maintenance.
  • Compile data for reports.
  • Assist with administrative tasks associated with the cost center(s) budget(s).
  • Schedule appointments and meetings.
  • Maintain calendar for one or more employees.
  • Answer/screen telephone calls.
  • Prepare expense reports.
  • Prepare/edit presentations.
  • Make travel arrangements.
  • Distribute mail.
  • Greet/escort visitors.
  • Assist new employees.
  • Duplicate and perform other established general administrative tasks.
  • Coordinate work within the work unit and with other work units/departments.
  • May assist in supporting the general administrative work for one or more professional employees other than the direct supervisor.
  • Use ability as a skilled specialist to contribute to the development of new concepts/techniques.
  • Complete assignments/tasks in innovative and effective ways.
  • Work on assignments that are highly complex in nature.
  • Determine methods and procedures for new assignments.
  • May supervise the activities of other non-exempt employees.
