About The Position

We are looking for our next Executive Assistant II. This person will be responsible for completing daily office functions and prioritizing work as required as assistant to three General Managers and their team in a fast-paced environment. They will provide support and other admin services for additional business unit directors. They will assist in special projects and work independently on assignments. They will handle confidential material with possible interface to corporate and other departmental levels. They will maintain a professional image as initial contact with management personnel, customers, outside visitors, etc.

Requirements

  • Ten or more years of administrative assistant experience with a minimum of 5 years working with multiple senior level executives.
  • Ability to manage multiple priorities in a fast-paced environment with a high level of professionalism and a flexible, positive demeanor
  • Work with little supervision and be a self-starter
  • Execution/Results Driven
  • Proficient with Microsoft Office products.
  • Requires excellent interpersonal, written and organizational skills.
  • Entrepreneurial (Creativity/Leading Change/Innovation)

Responsibilities

  • Provide administrative support to general managers, sales leaders, and business unit directors, including complex calendar management
  • Coordinate domestic and international travel as well as lodging and transportation for leaders, guests, and candidates
  • Plan and manage meetings and events across business units, including sales meetings, facilities, catering, and logistics
  • Support on site customer visits and create a professional experience for visitors and candidates
  • Oversee general office operations, including supplies, refreshments, equipment, and audio visual support
  • Prepare presentations, reports, correspondence, and expense submissions while assisting with recurring business and people reporting
  • Partner with internal teams to support recruiting coordination, legal documentation, and shared administrative needs
