As an Executive Assistant II, you will play a pivotal role in supporting two executives within the Engineering department. This position requires a seasoned professional who can adeptly manage complex schedules, drive business priorities, and enhance collaboration among teams. Your exceptional organizational skills and ability to navigate through change and growth will be essential to your success in this role. In this capacity, you will be responsible for a variety of tasks that are critical to the smooth operation of the executives' schedules and the overall efficiency of the Engineering department. You will proactively manage complex calendars, ensuring that business priorities are understood and schedules are optimized. Your role will also involve attending select internal meetings to capture and distribute notes, key takeaways, action items, and deliverables, while tracking deadlines to ensure timely project completion. You will prepare presentation materials and other documents using Google Suite and other tools for both internal and external meetings. Additionally, you will manage and track complex external meetings, ensuring that all relevant information is organized and accessible. Your ability to synthesize information from verbal and written communications into actionable notes and tasks will be crucial, as will your skill in gathering and preparing information for discussions to facilitate informed conversations. As a project manager, you will assist with ad-hoc tasks and projects, collaborating with cross-functional teams to prioritize and achieve business objectives. Event coordination will also be part of your responsibilities, as you plan and coordinate logistics for team meetings, all-hands meetings, town halls, and other events. Acting as the central contact for department activities, you will manage team meetings, off-sites, and social events, while also handling travel arrangements and expense management for domestic and international travel.
