About The Position

The Operations Division Executive Assistant provides administrative support to the Deputy Chief of Operations and staff within the Virginia Beach Police Department, which employs approximately 800 sworn and 200 civilian personnel at various facilities throughout the city.

Responsibilities

  • Scheduling meetings for the deputy director, maintain calendars, and schedule conference rooms in assigned areas.
  • Reviewing incoming mail to determine appropriate distribution and disposition.
  • Signing Deputy Director’s name to correspondence, interoffice forms, and related documents as needed.
  • Preparing letters and memos for the deputy director’s signature; prepare other correspondence, interoffice forms, agendas, certificates, presentations, personnel transactions, and other reports and forms; and prepare and maintain electronic leave records.
  • Monitoring divisional budget expenditures.
  • Maintaining files and records in compliance with records retention and records destruction procedures.
  • Preparing, processing, and tracking various data and reports such as summaries of data provided by others.
  • Establishing and maintaining personnel files.
  • Coordinating information sent out to other City departments and outside agencies.
  • Operating standard office machines (computer, phone, fax, copier, calculator, etc.).
  • Utilizing Microsoft Office Suite computer programs.
  • Screening visitors, telephone calls, and incoming mail for the Executive Suite.
  • Being a Program Manager for the department.
  • Supervising an Office Assistant.
  • Perform other job duties requiring skills, knowledge, and abilities determined by the supervisor based on current workload and department needs.
