We are looking for a highly motivated, diligent, and skilled individual to join the Global Retirement and Insurance (GRI) Technology and Service organization, as Executive Assistant to the Chief Information and Technology Officer. Success in the Executive Assistant role includes exercising superior judgment based on in-depth experience, advanced technical proficiency, and exceptional time management skills. The Executive Assistant will be focused on developing strong, collaborative relationships across multiple constituents.

Requirements

  • Significant prior, relevant work experience supporting diverse, global teams and senior executives.
  • Superior proficiency with Microsoft 0365 Suite and other virtual collaboration tools.
  • Strong organizational awareness and ability to build relationships.
  • Proactively monitor calendars for conflicts and make necessary adjustments.
  • Strong attention to detail and task follow-through.
  • Self-motivated with the ability to anticipate issues and provide realistic solutions.
  • Strong time management skills and ability to meet tight deadlines.
  • Ability to navigate meetings and commitments across different time zones.

  • Flexibility to work overtime as needed, especially when the Chief Information and Technology Officer is traveling internationally.

Responsibilities

  • Support the VP, GRI Chief Technology & Information Officer by managing all day-to-day matters including calendar management and complex meeting logistics.
  • Maintain a regular open line of communication with the executive to jointly manage strategic priorities and time management.
  • Demonstrate strong business acumen and organizational savvy to effectively prioritize and manage requests.
  • Handle logistics for team meetings, including anticipating technology needs and preparing materials.
  • Manage special projects such as senior level events, external presentations, and speaking engagements.
  • Handle confidential information and communicate sensitive information appropriately.
  • Act as a trusted partner and maintain the integrity and confidentiality of all information.
  • Coordinate travel and manage executive expenses.
  • Submit ISAMS and GETS reporting and approvals as needed.
  • Facilitate technology support between GRI Chief Technology and Information Officer and GT-dedicated resources.
