About The Position

As an Executive Assistant Floater at Millennium, you will provide high-level administrative support to executives across multiple departments. This role requires strong judgment, flexibility, and the ability to quickly adapt to different working styles while ensuring day-to-day operations run smoothly.

Requirements

  • 3+ years of experience providing administrative/executive support in a fast-paced environment; financial services experience preferred
  • Strong organizational, communication, and interpersonal skills
  • High integrity with proven ability to handle confidential and sensitive information
  • Comfortable interacting with stakeholders at all levels, including executive management
  • Ability to multi-task, prioritize competing deadlines, and remain calm under pressure
  • Self-directed with strong problem-solving skills and minimal supervision
  • Proactive mindset—able to anticipate needs and keep workstreams moving
  • Proficient in Microsoft Outlook, Word, Excel, and Windows environment

Responsibilities

  • Manage high-volume, frequently changing calendars for multiple executives
  • Coordinate meetings, conference calls, and complex scheduling across time zones
  • Screen and respond to calls, requests, and inquiries with professionalism and urgency
  • Arrange domestic and international travel, including flights, hotels, ground transportation, and detailed itineraries
  • Prepare and process invoices, travel bookings, and expense reports
  • Support office logistics, including lunch ordering and delivery/pick-up coordination
  • Greet and support visitors, ensuring a positive, professional experience
  • Provide desk coverage for Senior Executive Assistants when they are out of office or stepping away, ensuring continuity of support and timely handling of requests
  • Provide coverage across teams as needed and quickly align to executive preferences
  • During downtime (when not assigned to a desk), support the Business Support Team, with a focus on travel booking and expense report processing for Portfolio Managers
