Requirements

  • High school diploma or equivalent
  • 4+ years of executive assistant or advanced administrative experience
  • Proven experience supporting projects, including documentation, reporting, and communication
  • Exceptional communication skills with a polished, professional presence
  • Strong organizational and time-management skills with the ability to manage multiple priorities and deadlines
  • Ability to handle sensitive and confidential information with discretion
  • Strong critical thinking and independent decision-making skills
  • Advanced proficiency in Microsoft Office (Word, Excel, PowerPoint) and email/calendar systems
  • Ability to work effectively with diverse stakeholders, including physicians, executives, and external partners

Responsibilities

  • Provide high-level administrative support to Finance leaders, including calendar management, correspondence, and call handling
  • Coordinate and manage meetings (internal and external), including scheduling, agenda preparation, catering, AV needs, and detailed meeting minutes with follow-up tracking
  • Support executive projects by coordinating timelines, preparing materials, and communicating updates to stakeholders
  • Create and manage presentations and reports, including PowerPoint decks and Excel-based data analysis
  • Assist with budgeting, billing, and expense reporting, ensuring accuracy and timeliness
  • Manage travel arrangements and process reimbursements
  • Maintain confidential records, including executive files and compensation-related documentation
  • Collaborate with executive leadership, board members, and external partners to coordinate meetings and initiatives
  • Provide cross-functional support across the Executive Office, including backup coverage as needed
  • Support onboarding of new executives in partnership with HR and payroll/benefits teams
