About The Position

Your Role The Product team is responsible for the development and management of new innovative products for Stellarus. The Executive Assistant, Experienced will report to the Vice President, Product. In this role you will be responsible for planning and implementing the administrative needs for the Vice President and team while working collaboratively with the key stakeholders ensuring that meetings are prioritized and timelines are kept. The Executive Assistant, Experienced will be responsible for handling expenses, travel plans, calendar management, and meeting coordination in a fast-paced environment. Responsibilities Your Work In this role, you will: Carry out administrative, analytical or procedural tasks with high degree of autonomy Handle administrative matters, in the absence of, or on behalf of, the manager Provide administrative oversight of third-party relationships through implementation of designated systems, routine monitoring of performance, and tracking of goods and/or services Serve as administrative liaison between manager and direct reports and others within and outside the organization Manage day-to-day organization of executive’s calendar, appointments, meetings, and related schedule Coordinate business travel and prepare monthly business expenses Support department invoicing, meetings, events, and projects Act as an information source on organization policies and procedures Assist with onboarding new employees, equipment supports and offboarding when needed Qualifications Your Knowledge and Experience Requires a bachelor's degree or equivalent experience Requires at least 3 years of prior relevant experience Requires experience providing administrative support to Director and above executives in a fast-paced, complex environment Requires experience in managing complex and conflicting priorities Requires strong communications and relationship management experience Requires the flexibility to align to the VP’s schedule as needed Requires skills in time management and ability to identify and remove inefficiencies in team or individual calendar(s)

Requirements

  • Requires a bachelor's degree or equivalent experience
  • Requires at least 3 years of prior relevant experience
  • Requires experience providing administrative support to Director and above executives in a fast-paced, complex environment
  • Requires experience in managing complex and conflicting priorities
  • Requires strong communications and relationship management experience
  • Requires the flexibility to align to the VP’s schedule as needed
  • Requires skills in time management and ability to identify and remove inefficiencies in team or individual calendar(s)
