About The Position

Brown and Caldwell is seeking an analytical and organized Executive Assistant to support the Senior Vice President of the East Business Unit. This role involves direct support to the SVP and indirect support to the broader team, with opportunities for growth based on performance. The ideal candidate will thrive in a fast-paced environment, manage multiple tasks, and engage with various business groups and leaders. The position allows for remote work with a preference for candidates located in the eastern US, and it requires up to 20% travel.

Requirements

  • Four-year degree (Business or Communications preferred) and 3+ years of administrative executive experience supporting a Department/Division Leader or Senior VP.
  • Excellent verbal and written communication skills.
  • Demonstrated good judgment and sense of diplomacy.
  • Ability to maintain confidentiality of sensitive business and personal matters.
  • Outstanding interpersonal skills and customer service skills.
  • Strong organizational skills with a proven ability to take ownership and follow-through.
  • Exceptional attention to detail and ability to manage multiple job demands.

Nice To Haves

  • Prior Executive Assistant experience beneficial but not required.
  • Proficiency in Microsoft products/applications including Teams, OneNote, Project, Word, Excel, PowerPoint, Power BI, and SharePoint.

Responsibilities

  • Coordinate and compose reports, spreadsheets, agendas, meeting minutes, presentations, and other complex documents.
  • Assist with meeting and call scheduling, agenda development, meeting notes, and action-item tracking.
  • Schedule and maintain daily and long-term calendars for internal and external meetings.
  • Manage travel itineraries and coordinate related arrangements.
  • Perform a wide variety of administrative duties and assist with special projects as required.
  • Prepare monthly and quarterly performance reports for company leadership.
  • Support the team's ability to keep information current through various channels.
