About The Position

The Executive Assistant and Divisional Office Manager at Scholastic plays a crucial role in ensuring the smooth operation of executive functions and managing key projects within the Trade organization. Requirements

  • Minimum of 5 years of experience in executive assistance or administration.
  • Strong written and verbal communication skills.
  • Exceptional organizational and multitasking abilities.
  • Proficiency in office software (e.g., Microsoft Office Suite, Google Workspace).
  • Proficiency in data analysis.
  • Bachelor's degree in business administration, Management, or a related field.

Nice To Haves

  • Project management experience is a plus.
  • Advanced degrees or certifications in executive management are a plus.

Responsibilities

  • Provide comprehensive administrative support including managing complex schedules, organizing meetings, planning travel, and maintaining organized systems.
  • Prepare necessary materials and information for the President in advance of meetings, assist in building agendas, taking notes, and following up on action items.
  • Support the President's strategic initiatives by monitoring progress toward business objectives and building strategic presentations.
  • Act as a liaison between the Trade Leadership team and internal/external stakeholders, handling inquiries with discretion and professionalism.
  • Assist and/or lead various cross-functional projects, including coding invoices and managing onboarding for new hires.
  • Draft and edit reports, presentations, and correspondence as needed.
  • Function as a project manager for key initiatives, implementing systems to improve efficiencies and managing follow-through.
  • Conduct industry research and provide insights to identify trends and inform strategy.
  • Plan seasonal divisional events, overseeing budgets and vendor hiring.
