About The Position

The Executive Assistant to the Chief Security Officer (CSO) & Security Manager is a pivotal role within the Lucas Museum of Narrative Art, providing essential support in the administration and operation of the Security Department. This role is central to fostering a collaborative, inclusive, and creative work environment. The ideal candidate will be a detail-oriented, exceptional communicator capable of building strong relationships with internal and external stakeholders. The Executive Assistant must be nimble, highly responsible, trustworthy, and adaptable, offering a unique opportunity to engage with diverse and dynamic teams. A significant focus will be on assisting day-to-day administration, managing confidential and time-sensitive materials, and overseeing the Officer and Manager’s schedule and travel. This role requires a solid understanding of the museum's operations and business practices and is integral to the seamless operation of the organization, requiring a combination of administrative expertise, strategic thinking, exceptional project and time management skills, with technical writing skills in law enforcement or other legal fields.

Requirements

  • Bachelor's degree from an accredited college or university required, with a preference for majors in Business Administration, Law, or a related field.
  • At least two (2) years prior administrative experience with experience at the C-level, and/or start-up or arts institution environment, are strongly encouraged to apply
  • Competent and proficient knowledge of Microsoft Office Suite, including Outlook, Word, Excel, and PowerPoint.
  • Familiarity with project management software, digital communication tools, and technical writing in law enforcement or other legal environment

Nice To Haves

  • A legal background or paralegal certification is a plus, as is experience working in law enforcement, law firm or other comparable experience

Responsibilities

  • Manage the CSO & Security Manager’s calendar, schedule, expenses and travel arrangements
  • Coordinate projects anticipating department needs. This includes planning, executing, and tracking progress to ensure alignment with strategic goals along with compiling SOP’s, Plans & Policies content
  • Manage correspondence, communications, and meetings effectively. Engage collaboratively across various museum departments, especially with the CEO’s office, People & Culture, Finance, and Information Technology
  • Assist in the budgeting process and monthly reporting for the People and Culture department. Ensure timely execution of financial responsibilities
  • Manage and assist with scheduling, meeting logistics, preparing agendas, and coordinating technical requirements
  • In partnership with the CSO and Security Manager, monitor and report on the execution of the department’s strategic priorities
  • Provide high-level confidential support related to the professional responsibilities of the CSO and Security Manager. Evaluate incoming requests and materials to prioritize in alignment with department goals
