About The Position

The Executive Assistant for Corporate Social Responsibility & Communications at CarMax provides advanced administrative and project support to the Vice President and the team. This role requires a comprehensive understanding of organizational policies and practices, as well as the ability to make independent decisions regarding planning and scheduling. The position is hybrid, based in Richmond, VA, and involves managing communications, travel logistics, and supporting new hire onboarding.

Requirements

  • Five or more years of administrative experience.
  • High school diploma.
  • Strong experience with MS Office products (Excel, Word, PowerPoint, Access).
  • Ability to prioritize and multi-task in a deadline-oriented environment.
  • Strong organizational skills and attention to detail.
  • Excellent written and oral communication skills.
  • Ability to provide exceptional customer service and maintain a positive attitude.
  • Ability to convey a professional image to associates and vendors.
  • Basic reasoning and mathematical skills.
  • Adaptability in a fast-paced environment.

Nice To Haves

  • Experience with CarMax systems is strongly preferred.

Responsibilities

  • Make independent decisions regarding planning, organization, and scheduling of work.
  • Provide tactical support for team projects and track delegated tasks for timely completion.
  • Manage Office 365 calendar, including scheduling and rescheduling meetings.
  • Coordinate and manage travel arrangements for executives, anticipating their needs.
  • Fully own and coordinate meetings and events, including logistics and communication.
  • Complete monthly P&L reviews, including accrual and variance analysis.
  • Draft, edit, and proof-read memos, reports, and presentations.
  • Process incoming invoices and maintain department files and records.
  • Support managers with new hire onboarding and assist new associates in settling in.
