This is a highly visible position requiring discretion, strong judgment, and the ability to manage competing priorities with ease.

Requirements

  • 3+ years of experience supporting executives and/or office operations in a professional services or corporate environment
  • Highly proficient in Microsoft Outlook, Word, Excel, and Teams
  • Strong calendar management, travel coordination, and expense reporting experience
  • Professional, executive-ready presence with excellent communication skills
  • Highly organized with strong attention to detail and ability to prioritize
  • Service-oriented mindset with the ability to remain calm and solutions-focused
  • Discreet and trustworthy when handling confidential information
  • Comfortable working independently in a smaller office environment

Responsibilities

  • Complex calendar management and scheduling
  • Travel coordination and itinerary management
  • Expense reporting and administrative support
  • Meeting coordination, including agendas, logistics, and follow-ups
  • Provide support for executive meetings, including catering and onsite coordination
  • Anticipate executive needs and proactively solve problems before they arise
  • Ordering and maintaining kitchen and office supplies
  • Managing access badges and coordinating with building management
  • Supporting IT-related needs and coordination
  • Maintain a clean, organized, and professional office environment
  • Serve as a point of contact for employees working onsite
  • Scheduling, room setup, catering, and logistics
  • Support internal events and leadership visits
