Reporting directly to the Chief of Staff, the Executive Assistant provides seamless strategic and logistical support to multiple C-Suite leaders. Functioning as a critical administrative business partner, you will integrate into department ecosystems to drive cross-functional priorities. You will maintain a pulse on the organization, facilitate seamless communication, proactively remove roadblocks, and execute core initiatives to ensure leadership alignment. Please note: This role is a 6-month fixed term position.

Requirements

  • 5+ years experience supporting C-suite and senior-level executives.
  • Hyper-organized with a keen attention to detail
  • High EQ, strong communication skills, diplomacy, and ability to work with cross functional teams and make sure information is flowing freely between them
  • Ability to travel to various offices and hubs to facilitate onsites and team events.
  • Work in fast-paced environment, and remain agile and flexible in response to changing priorities and needs
  • Organized and efficient at building processes and driving to accountability
  • Highly responsive and proactive on anticipating needs of executives
  • Self-starter with ability to work independently, anticipate needs, and make sound decisions
  • Data-driven, process-oriented, and holds others and the organization to a high standard
  • Tech savvy with proficiency in G-Suite including creating and polishing of presentation slides as needed
  • Ability to travel both domestically and internationally on occasion

Responsibilities

  • Operate in a variety of capacities working with senior teams to demonstrate excellence in administrative functions, including managing and prioritizing complex calendars, and preparing and coordinating internal / external meetings across global time zones
  • Integrate into the departments in order to prioritize and adjust schedules as needed
  • Be a trusted partner and advisor on key business priorities
  • Manage domestic and international travel accommodations, transportation, reservations and expense reports
  • Support initiatives and facilitate the integration and prioritization of emerging priorities
  • Handle details of a highly confidential and sensitive nature with a high level of discretion
  • Ensure policies, processes and procedures are followed and suggest improvements where necessary
  • Support the executive search interview process
  • Assist in onsite and large group meeting coordination, ad-hoc projects, etc.
