We are looking for an Executive Assistant to join our Client Operations team. This position will report to the VP, Operational Excellence, and provide support to two Client Operations Team Managing Directors (HarbourVest’s Treasurer and HarbourVest’s Head of Investment Accounting) along with three members of the Client Operations Leadership team. The individual in this role will work in close collaboration with the executive assistant to the firm’s Head of Client Operations. This position will be a hybrid work arrangement. You will receive 18 remote workdays per quarter to use at your discretion, subject to manager approval. For example, you may choose to work in the office 4 days per week and take one remote day weekly (typically 13 weeks per quarter), leaving 5 additional remote days to be used as needed. Requirements

  • Ability to work independently and as part of a team
  • Thorough knowledge of Microsoft Office Suite and proficiency in PowerPoint and Outlook; experience with Concur a plus
  • Strong focus on detail; resourcefulness and adaptability
  • Strong organizational and problem-solving skills, with the ability to handle tasks efficiently and accurately
  • Sound judgment and professionalism when interacting with all levels of the organization
  • Excellent written and verbal communication skills
  • Familiarity with financial/investment terms and concepts a plus but not required
  • 5-8 Years’ experience in similar capacity preferred

Responsibilities

  • Manage Outlook calendars, schedule meetings, and resolve scheduling issues across multiple geographies and time zones
  • Coordinate travel arrangements (domestic & international) including flights and hotels; troubleshooting if unexpected changes arise
  • Consolidate and submit expense reports as requested
  • Assist in coordination and creation of presentation materials
  • Support logistics for meetings, offsites, teambuilding, etc.)
  • Provide general administrative support to ensure smooth daily operations.
