About The Position

AMI is seeking an experienced Executive Assistant to support the ongoing efforts within the areas of facilities management, construction initiatives, joint venture partnerships, and integration-related activities. This position will report directly to and provide support to the Chief Integration Officer. The ideal candidate is comfortable taking the lead in challenging situations, accustomed to coordinating with outside vendors and contractors, and has the technological knowledge & abilities to participate in new and ongoing projects. This is a full time, salaried position, and offered rates are based on years of experience. The Executive Assistant to the Chief Integration Officer is responsible for, but not limited to: Provides direct administrative and logistical support including scheduling meetings, preparing agendas, and documenting minutes. Maintains and updates maintenance and facilities performance metrics and trackers. Coordinates contractor scheduling and assists with obtaining and organizing quotes for facility projects. Attends construction and facilities meetings; document decisions and track follow-up actions. Accompany the CIO on site visits and assist with preparation of facility status summaries. Supports RFP coordination, vendor documentation, and contract tracking related to facilities. Assists with tracking lease obligations related to repairs and maintenance. Provides administrative and reporting support for joint venture partnerships, including dashboards and meeting documentation. Performs additional duties as assigned. This is a full time, salaried position based in AMI's Corporate Office in West Atlantic City/Pleasantville, NJ. The schedule includes Monday-Friday, days (8am-4:30pm, 8:30am-5pm), and requires the flexibility to stay late or come in early for meetings or appointments when needed. Travel is required to other AMI offices or off-site locations and candidates must be willing to travel to different locations as needed.

Requirements

  • Eligible candidates must have a high school diploma, however, an Associate's or Bachelor's Degree is strongly preferred.
  • Areas of degree focus should include Business Administration, Healthcare Administration, Facilities Management, or a related area.
  • 3-5 years of administrative, executive support, or project coordination experience is required.
  • Candidate must have professional work experience supporting facilities, construction, property management, or multi-site operations.
  • Candidates must demonstrate a strong proficiency with Microsoft Office products, including Word, Excel, Outlook, Teams (or similar), along with a project management tool, such as Microsoft Project, Procore, or similar platforms.
  • Candidates must have exceptional organization and task-management skills with the ability to prioritize and manage multiple, competing assignments.
  • Attention to detail with strong follow-through, critical thinking, and creative problem solving are also required.
  • Exceptional communication skills, both written and verbal, are required to be successful in this position, based on the need to establish effective relationships with internal and external stakeholders.
  • Candidates must have a valid and unrestricted driver's license and reliable, personal transportation.
