About The Position

The Executive Assistant to the CEO provides high-level administrative support to the Chief Executive Officer, ensuring efficient day-to-day operations and enabling the CEO to focus on strategic initiatives. This role requires exceptional organizational skills, discretion, and the ability to manage complex schedules, communications, and priorities in a fast-paced executive environment. The Executive Assistant serves as a trusted partner, representing the CEO’s office with professionalism and confidentiality.

Requirements

  • Bachelor’s degree in Business Administration, Communications, or a related field preferred.
  • 5+ years of experience supporting C-suite executives or senior leadership in a fast-paced environment.
  • Exceptional organizational and time management skills with the ability to manage multiple priorities.
  • Strong written and verbal communication skills.
  • High level of discretion, professionalism, and judgment when handling sensitive information.
  • Proficiency in Microsoft Office Suite (Outlook, Word, Excel, PowerPoint) and virtual collaboration tools (Zoom, Teams).
  • Ability to operate with agility, composure, and reliability in a dynamic executive setting.
  • Experience in a real estate, property management, or service-based industry is a plus.

Responsibilities

  • Manage the CEO’s calendar, including scheduling meetings, coordinating logistics, and prioritizing appointments.
  • Prepare, edit, and organize reports, presentations, and other materials for executive meetings and engagements.
  • Serve as the primary point of contact for internal and external stakeholders on matters related to the CEO.
  • Arrange complex travel itineraries, accommodations, and expense reports with accuracy and efficiency.
  • Track and follow up on key initiatives, deadlines, and deliverables to support the CEO’s goals.
  • Handle confidential information with discretion and maintain a high level of professionalism.
  • Coordinate executive team and board meetings, including preparation of agendas, minutes, and materials.
  • Support the CEO’s involvement in external engagements, including speaking events, client relations, and industry activities.
  • Anticipate needs and proactively address administrative and operational issues on behalf of the CEO.
  • Partner with other executive assistants and departments to ensure alignment and cross-functional collaboration.
  • Proactively resolve scheduling conflicts.
  • Handle game ticket management.
  • Coordinate coffee and lunches on a regular basis to ensure schedule efficiency and uninterrupted workflow.
  • Support the CEO and C-Suite with personal assistant tasks.
  • Provide support to other members of the executive team, including scheduling, travel logistics, etc.
  • Support other company projects and initiatives as requested.
