About The Position

The Executive Assistant (EA) to the CEO, CFO, and CHRO plays a critical role in supporting the strategic and operational priorities of executives of a publicly traded company. This position requires exceptional organizational skills, discretion, and the ability to manage complex tasks with precision and professionalism. The EA serves as a trusted partner, ensuring the CEO's and other executives' time is optimized, communications are clear, and engagements are executed flawlessly.

Requirements

  • Bachelor's degree required; advanced degree or certification preferred.
  • Minimum of 5 years of experience supporting C-suite executives, preferably in a public company.
  • Experience supporting board-level activities is highly desirable.
  • Exceptional organizational and time management skills.
  • Strong written and verbal communication abilities.
  • High emotional intelligence and interpersonal skills.
  • Advanced proficiency in Microsoft Office Suite, Teams, Zoom, and enterprise systems (e.g., Concur, Diligent, Workday).
  • Ability to handle confidential information with discretion and integrity.
  • Strong judgment, problem-solving skills, and attention to detail.

Responsibilities

  • Manage and prioritize calendars, including scheduling meetings, calls, travel, and events across multiple time zones.
  • Prepare and edit presentations, reports, and other documents.
  • Coordinate logistics for customer meetings, investor matters, and other high-level engagements.
  • Serve as a gatekeeper and liaison between the CEO and internal/external stakeholders.
  • Execute administrative activities relating to key meetings, monitoring emails, correspondence, ordering catering, venue management.
  • Track and follow up on key initiatives, ensuring deadlines are met and deliverables are aligned with strategic goals.
  • Assist in preparing briefing materials and agendas for meetings, including board and committee meetings.
  • Support the executives in managing confidential and sensitive matters.
  • Draft and manage high-level communications, ensuring tone and messaging align with corporate standards.
  • Build strong relationships across the organization to facilitate smooth information flow and collaboration.
  • Plan and coordinate complex travel itineraries, including international travel.
  • Process and reconcile expense reports in compliance with company policies.
