Position Overview: This position provides high-level administrative and operational support to help the advisor serve clients and grow their practice. This role ensures seamless day-to-day organization, proactive coordination, and an exceptional client experience, allowing the advisor to focus on relationship-building and strategic growth. This position requires consistent in-person attendance at our Carmel, Indiana headquarters.

Requirements

  • 3+ years of experience providing administrative support or an equivalent blend of experience.
  • Bachelor's degree is preferred, but candidates with some higher education experience will be considered if all other qualifications are met.
  • Highly proficient in Microsoft Office, Adobe Acrobat, and related technology.
  • Discrete and highly meticulous with sensitive and confidential corporate and client information.
  • Exceptional interpersonal skills with a proven ability to establish and maintain relationships.
  • Excellent time management, organization and problem-solving skills.

Nice To Haves

  • Prior CRM experience a plus.

Responsibilities

  • Manage all scheduling for advisor, including client meetings, internal team meetings and personal schedule in both Outlook and Salesforce.
  • Ensure that advisor is meeting client service standards by scheduling quarterly meetings and managing work flow for the advisor and advisors team.
  • Assist advisor with team communication by monitoring client emails.
  • Assist advisor and advisor team with client tasks as needed.
  • Assist with ensuring that all client information is maintained in Salesforce.
  • Assist advisor with all aspects of prospects including scheduling and entering data in Salesforce.
  • Email management assist advisor with email management and monitoring. Flag emails for advisor/advisor team as needed.
  • Track and submit monthly expense report for advisor.
  • Save client information to Box and/or MFiles as needed.
  • Travel arrangements handle all travel arrangements as needed.
  • Order client gifts as needed.
  • Assist advisor with events and sponsorships as needed.
