Job Description: Job Duck is seeking a highly organized and detail-oriented Executive Assistant to support a fast-paced legal team. In this role, you will play a key part in keeping daily operations running smoothly by managing calendars, coordinating schedules, and supporting important legal processes. You will collaborate closely with attorneys and internal teams to ensure deadlines, court dates, and administrative priorities are handled efficiently and accurately. This position is ideal for someone who thrives in a structured environment, demonstrates a strong sense of urgency, and enjoys supporting professionals through proactive organization and communication. Requirements

  • Working Hours: 9:00 AM to 5:00 PM or 10:00 AM to 7:00 PM
  • Industry: Legal services including litigation, class action, corporate law, real estate, trademark, and hospitality.
  • At least three years of experience managing calendars and scheduling
  • Previous experience supporting legal teams, attorneys, or administrative departments is preferred
  • Some level of education beyond high school is preferred
  • Ability to manage priorities, deadlines, and sensitive information with professionalism
  • Strong written and verbal communication skills
  • High level of organization and attention to detail

Responsibilities

  • Support additional administrative or legal tasks as responsibilities expand
  • Communicate with team members regarding scheduling updates or conflicts
  • Review information and create charts or organized summaries when needed
  • Organize files and maintain records using cloud-based systems
  • Assist in the preparation of transcript summaries and documentation
  • Monitor schedules to ensure deadlines and commitments are met
  • Coordinate and schedule court dates, meetings, and deadlines
  • Manage and maintain attorney calendars and schedules
