Requirements

  • High school diploma or equivalent required.
  • Two (2) to five (5) years of administrative assistant experience in an executive office required.
  • Ability to successfully perform the essential functions of this job under limited supervision required.
  • Strong project management skills.
  • Ability to promote positive guest relations and professionalism.
  • Excellent customer service skills, including but not limited to: a friendly personality, tact, patience, empathy and a helpful, professional attitude both in person and on the telephone.
  • Ability to effectively communicate with staff, managers and the general public verbally and in writing.
  • Demonstrate effective listening skills.
  • Excellent organization and time management skills and ability to establish priorities effectively.
  • Possess exceptional problem solving skills.
  • Ability to work effectively without immediate supervision.
  • Ability to learn new computer software programs.
  • Ability to recognize and protect confidential information.

Responsibilities

  • Provides direct office management support to the CEO, Senior Leadership team the Board of Trustees, and all subcommittees.
  • Develops CEO Communication’s strategy and carries out tactics.
  • Acts as ghost writer for the CEO and writes quarterly President’s Message for employees and the website; coordinates Breakfast with the CEO; drafts emails on behalf of the CEO, ‘Way To Go’ memos; writes and edits newsletters including: ‘Beat the Press,’ and ‘AdminRounds’; writes press releases and articles; coordinates employee Town Hall and prepares presentations; writes and edits reports and other documents.
  • Acts as the receptionist for the Administration office, handles incoming phone calls, takes and forwards messages for the appropriate person, greets incoming public and staff.
  • Organizes, attends and takes minutes at all Board of Trustees meetings, including Executive Sessions and subcommittees.
  • Obtains appropriate reports and documentation, and briefing documents for review and action. Performs all follow-up duties.
  • Coordinates travel arrangements for CEO and Trustees.
  • Reconciles CEO MasterCard, reimbursement for travel and mileage.
  • Creates the monthly Visiting Physicians calendar, the Admin on Call calendar, and the Leadership Huddle Calendar
  • Other duties as assigned.
