About The Position

The Executive Assistant (EA) position at the University of Washington provides essential administrative support to the Associate Dean of Diversity, Equity, and Inclusion (ADDEI) in the College of the Environment. This role is critical in managing the ADDEI's communications, scheduling, and grant-funded projects, ensuring that the office operates efficiently in a fast-paced environment. The EA will represent the ADDEI publicly and maintain a strong understanding of the DEI landscape within the college and university, facilitating effective collaboration and communication with various stakeholders.

Requirements

  • Bachelor's degree in a relevant field.
  • Two years of progressively responsible experience in administrative support.
  • Demonstrated experience in multi-tasking in a high-pressure environment.
  • Strong interpersonal skills and ability to maintain professionalism.
  • Excellent written and verbal communication skills.
  • Proficiency in Microsoft Word, Excel, and Outlook.

Responsibilities

  • Act as a confidential liaison between the ADDEI and various internal and external parties.
  • Manage the ADDEI's communication, including phone, email, and mail, prioritizing and delegating as necessary.
  • Draft and send email messages on behalf of the ADDEI, maintaining their voice and style.
  • Create daily summaries of messages requiring attention, sorted by importance.
  • Manage the ADDEI's complex schedule and calendar, making independent decisions on meeting arrangements.
  • Coordinate day-to-day activities to ensure effective management of the ADDEI's schedule.
  • Manage travel arrangements and organize travel materials for the ADDEI.
  • Support grant-funded work, including scheduling and administrative tasks for programs like ASPIRE and GeoFutures.
  • Track department DEI and grant budgets, ensuring compliance with university policies.
  • Provide logistical support for DEI team meetings and events.
