A little bit about our team: The A&R department at Warner Records Group is responsible for both finding and developing musical artists to sign as well as producing artists and driving creative content for all forms of media. Your role: Job responsibilities include (but are not limited to) handling all administrative aspects of work for the President, A&R, Warner Records Group as well as more detailed project management and independent projects on various levels. Requires a committed, flexible, proactive, organized, and independent person who is willing to engage in typical administrative/clerical duties as well as more complex project work related to all aspects of the record-making process.

Requirements

  • 2+ years of administrative experience
  • Strong understanding of recording, production, and creative side of the business
  • General knowledge of key industry players and familiarity with all music
  • Work independently and take initiative
  • Excellent verbal and written communication and interpersonal skills
  • Ability to work under pressure and deadlines
  • Handle confidential matters appropriately and with discretion
  • Strong attention to detail
  • Multi-task: prioritize with the appropriate sense of urgency
  • Ability to pinpoint problems and determine solutions
  • Expertly collaborate with all levels of the organization, clients, and vendors
  • Accurate filing and maintenance of music
  • Experience or solid understanding of the music industry

Responsibilities

  • Manage and schedule the executive's numerous day-to-day events such as- setting up conference calls, running point for in-person meetings, and coordinate their calendar, scheduling, and meeting logistics
  • Receive and direct visitors and make the office a welcoming environment
  • Handle the executive's timeliness by ensuring they are timely for each call and meeting, take diligent notes in meetings, and build action item lists where needed
  • Serve as a reliable contact between internal and external partners, communicate high priorities to the executive in a timely manner
  • Prepare correspondence (memos, emails) as required; Read and speak to materials and documents, recognize critical data and information, and effectively communicate vital information
  • Process and maintain T&E expenses for the executive via Concur
  • Coordinate frequent travel for executives and artists both domestic and internationally
  • Complete ad hoc projects, as needed, for executive
  • Uphold and conduct work within the standards and procedures of the company’s Code of Conduct and core values
  • Partner with Facilities and IT to ensure the offices of executives and Company are maintained and conference rooms are in working order
  • Handle general office duties such as processing packages, mail, and keeping stock of general office supplies
