About The Position

We are seeking a highly proactive and detail-oriented Executive Assistant 2 to support senior leadership. This role goes beyond traditional administrative support—you will act as a strategic partner who anticipates needs, protects executive time, and ensures day-to-day operations run seamlessly. The ideal candidate is exceptionally organized, thinks several steps ahead, and brings strong judgment, discretion, and a solutions-oriented mindset.

Requirements

  • 3–6+ years of experience supporting senior leaders or executives
  • Expert-level calendaring and organizational skills
  • Strong project management and multitasking abilities
  • High level of discretion and professionalism
  • Excellent communication and stakeholder management skills
  • Ability to anticipate needs, problem-solve, and operate with minimal direction
  • Proficiency with productivity tools (e.g., Outlook/Google Workspace, Excel, collaboration tools)
  • Proactive and forward-thinking
  • Highly organized with strong attention to detail
  • Calm under pressure with excellent judgment
  • Service-oriented with a “no task too small” mindset
  • Strong sense of ownership and accountability

Responsibilities

  • Manage complex, high-volume calendars across multiple time zones
  • Prioritize and optimize schedules to align with business goals
  • Proactively identify conflicts and resolve them before they arise
  • Protect executive time by filtering requests and ensuring focus on highest-impact work
  • Anticipate leader needs and prepare materials, context, and next steps in advance
  • Think 10 steps ahead to ensure leaders are prepared for meetings, decisions, and travel
  • Track priorities, follow-ups, and key deliverables to keep initiatives moving forward
  • Act as a trusted partner in helping the leader stay organized, effective, and focused
  • Manage expense reporting accurately and in a timely manner
  • Coordinate complex domestic and international travel, including itineraries and logistics
  • Ensure seamless travel experiences with contingency planning as needed
  • Plan and execute internal and external meetings, offsites, and team events
  • Manage logistics including venues, agendas, materials, and communications
  • Ensure events run smoothly and reflect a high level of professionalism
  • Support cross-functional projects by tracking timelines, deliverables, and stakeholders
  • Help drive operational efficiency through organization and process improvements
  • Maintain documentation, reports, and communication updates as needed
  • Help the leader maintain balance by managing workload, scheduling breaks, and reducing friction
  • Create space for strategic thinking by handling administrative and operational complexity
  • Serve as a gatekeeper and facilitator to ensure sustainable pace and effectiveness
