About The Position

The Executive Administrator is responsible for providing comprehensive administrative support for plant operations. This role involves assisting the Site Director, Human Resources Department, operations staff, and plant employees. The position requires handling confidential and sensitive materials with discretion.

  • Proficiency in administrative support tasks.
  • Strong skills in Outlook and calendar management.
  • Experience in executive support.

  • Comfortable interacting with SLT, board, and HQ members.
  • Advanced knowledge of PowerPoint and Excel.

Responsibilities

  • Coordinate travel arrangements for all plant employees, adhering to established site and corporate guidelines.
  • Arrange travel for candidates and manage candidate reimbursement.
  • Assist the Site Director with daily work schedules, including meeting facilitation, calendar maintenance, teleconferences, site tours, emails, and routine appointments.
  • Prepare documents and meeting presentations.
  • Manage phone calls and direct callers to the appropriate contacts.
  • Serve as the primary point of contact for visitors, ensuring a welcoming and professional first impression.
  • Monitor and respond to door alerts or site entry requests promptly.
  • Oversee lobby operations to ensure cleanliness, organization, and compliance with safety and security protocols.
  • Purchase office supplies and coordinate lunch orders for the Plant Director, SLT Team, and visitors.
  • Assist the Site Director in maintaining reports and managing projects.
  • Support the Human Resources Department in recruitment, onboarding, and culture initiatives, such as reward and recognition programs.
  • Plan and implement employee morale, welfare, wellness, and health programs.
  • Provide support to plant operating staff in areas such as site website management, newsletter publication, and coordination of meetings and events.
  • Manage FedEx and mailing distributions for the site.
  • Perform other administrative and support functions as assigned by management.
