About The Position

The Executive Administrator will provide high-level administrative support to the General Manager and work on numerous projects as necessary.

Requirements

  • Excellent time management skills with a proven ability to meet deadlines.
  • Understands confidentiality as a primary and required function of the job
  • Ability to function well in a high-paced and at times stressful environment.
  • Extensive knowledge of office administration, clerical procedures, and recordkeeping systems.
  • Able to type a minimum of 50 words per minute.
  • Extremely proficient with Microsoft Office Suite or similar software with the ability to learn new or updated software.
  • High school diploma required, Bachelor’s degree in Business Administration or related field preferred.
  • At least four years of related administrative or Executive assistant experience required.

Responsibilities

  • Provides high-level administrative support and assistance to the General Manager (“GM”) and other assigned leadership staff when needed.
  • Manages the GM’s calendar and meetings.
  • Main liaison between the Board of Directors and our managing executive team.
  • Maintains and updates the cloud-based sharing tool for the Board of Directors.
  • Responsible for helping assist membership needs, complaints, and communication.
  • Performs clerical and administrative tasks including drafting letters, memos, invoices, reports, and other documents for GM, executive team and the Board of Directors.
  • Arranges travel, accommodations, and orders for GM and executive team.
  • Arranges meeting and other requests for the Board of Directors.
  • Responsible for any announcements or communication for the Board of Directors.
  • Schedules and attends meetings on behalf of executives, taking notes and recording minutes.
  • Receives incoming communication or memos on behalf of senior staff, reviews contents, determines importance, and summarizes and/or distributes contents to appropriate staff.
  • Performs office tasks including maintaining records confidentially, ordering supplies when needed, and performing basic bookkeeping.
  • Performs additional duties as assigned by executives.
  • Performs other related duties as assigned.
