About The Position

The Executive Administrator at the Climate Democracy Initiative (CDI) plays a crucial role in providing high-level administrative support to the leadership team and Board. This position is essential for ensuring smooth executive operations and supporting strategic initiatives within the organization. The ideal candidate will be detail-oriented, possess exceptional organizational and communication skills, and demonstrate a proactive approach to problem-solving, all while being committed to CDI's mission of addressing the intertwined challenges of democracy and climate change.

Requirements

  • Bachelor's degree in Business Administration, Communications, or a related field (or equivalent experience).
  • Minimum of 5-7 years of experience in administrative roles supporting C-level executives or senior leadership, preferably in a nonprofit or mission-driven organization.
  • At least 3 years of experience providing direct support to board members, including managing board processes and communications.
  • Demonstrated expertise in event planning and coordination.
  • Proficiency in Microsoft Office Suite, Google Workspace, and project management tools.

Responsibilities

  • Manage calendars and schedules for the executive team.
  • Coordinate travel arrangements and logistics for leadership.
  • Provide administrative support for projects and initiatives.
  • Interface with the CDI Board, managing schedules and communications.
  • Set up, refine and maintain workflows for effective board management.
  • Prepare and distribute board meeting materials, take minutes, and track follow-up actions.
  • Draft, edit, proofread and manage correspondence, reports, presentations, and other documents.
  • Serve as a key point of contact for internal and external stakeholders.
  • Track and monitor key initiatives, ensuring deadlines are met.
  • Support leadership in executing strategic plans and decisions.
  • Organize materials and logistics for staff and board meetings.
  • Plan and coordinate events, including invitations, venue arrangements, and follow-up.
  • Maintain organized systems for records and files, ensuring accuracy and accessibility.
  • Conduct research to support the Executive Director and senior leadership in decision-making and strategy development.
  • Compile, analyze, and present findings to inform organizational initiatives and strategic priorities.
