About The Position

The Executive Administrator position at Visa provides essential administrative support to the Chief Communications Officer (CCO) and other senior executives within the Global Communications team. This role is crucial for ensuring smooth operations and effective communication within the team, requiring a proactive problem solver with strong organizational skills and the ability to manage multiple tasks efficiently. The position is designed for an individual contributor who will work closely with senior leaders, maintaining a high level of professionalism and discretion.

Requirements

  • Minimum of 6 months of work experience or a Bachelor's Degree.
  • 2 or more years of work experience as an executive assistant or in relevant administrative support or project management roles.
  • Strong verbal and written communication skills with the ability to communicate effectively at all organizational levels.
  • Excellent interpersonal communication skills and a positive attitude.
  • Ability to perform and prioritize multiple tasks with attention to detail in a fast-paced environment.
  • Solutions-oriented with the ability to work collaboratively with others.
  • Strong MS Office skills (Outlook, Teams, Word, Excel & PowerPoint) and technological savvy.

Responsibilities

  • Actively manage the calendar of the Chief Communications Officer, including scheduling and coordinating logistics for meetings.
  • Coordinate travel logistics, including flights, lodging, visas, and travel documents, and support planning of events and meetings.
  • Organize and support executive meetings, including preparing agendas, taking minutes, and following up on action items.
  • Process expense reports on behalf of the Chief Communications Officer and other internal clients as requested.
  • Manage in-office requests, draft correspondence, proofread and format business documents, and prepare notes.
  • Direct inquiries and information to and from stakeholders, and work on special projects within the Office of the CCO.
  • Maintain confidential and sensitive information with discretion and handle incoming inquiries and requests in a timely manner.
  • Perform general office duties, including filing, copying, and ordering supplies.
