About The Position

Saint Luke’s Hospital is seeking an Executive Administrative Assistant to provide administrative support to the President of Saint Luke's Foundation. Because you will have a diverse workload, being able to manage several ongoing priorities with last minute requests will be very important.

Requirements

  • Proficient in Microsoft Office Suite, including Excel, Word and PowerPoint
  • Results-driven achiever with excellent organizational skills
  • Ability to maintain a friendly, outgoing and professional demeanor at all times
  • Ability to maintain ongoing confidentiality of protected healthcare, operational and other business information
  • Exceptional listening skills
  • Ability to communicate clearly, both verbally and in writing
  • Applicable Experience: Less than 1 year

Responsibilities

  • Manages calendars, creates appointments and prioritizes the most sensitive matters
  • Handles highly confidential and sensitive information
  • Takes phone calls, schedules meetings, manages executive and physician requests
  • Assists with coordination of the physical facilities and equipment within the administrative suite
  • Performs general clerical duties to include preparing letters and mailings, filing paper and electronic materials, and maintaining email and SharePoint distribution lists and permissions
  • Assists in preparing PowerPoint and other presentations and communications for physicians and leaders
  • Organizes meetings, including scheduling, sending reminders, and organizing catering when necessary
  • Processes invoices and purchase orders following established procedures
  • Organizes and maintains provider-based clinic information and documentation to support regulatory reporting
  • Assists administrators, directors, and other healthcare providers with license and certification renewals and processing of expense reports
  • Uses independent judgment to plan, prioritize and organize a diversified workload
  • Manages various administrative and special projects and other duties as assigned
