About The Position

Responsible for performance of varied administrative duties and designated administrative functions for assigned Executive. Maintain a close and highly responsive relationship with the day-to-day work activities within assigned function. Work independently under general supervision and guidance in carrying out assigned responsibilities. Ensure that strict confidentiality is consistently maintained in order that all records, documents and related information pertaining to high level executive plans and decisions affecting Company operations are not compromised. Relieve executive of designated administrative details, exercise judgment and make decisions within the scope of authority. Typically reports to Executives in salary grade 14 and above.

Requirements

  • Executive Administrative Assistant SG5
  • Education: High school graduate or equivalent education and /or experience. Some college and/or office administrator training is desirable.
  • Experience: Five/5 yrs or more of diversified thorough exp gained from work in various areas within the organization or similar administrative exp. Must be computer/PC competent and have exp in utilizing general administrative office procedures and practices.
  • Physical demand level is Sedentary

Responsibilities

  • Complex Calendar Management: Coordinate and manage intricate scheduling for executives, including prioritizing meetings, resolving conflicts, and anticipating future needs.
  • Travel Coordination: Arrange domestic and international travel, including flights, accommodations, itineraries, and expense reporting.
  • Task Management Liaison: Act as a central point of contact between executives and team members to ensure tasks are assigned, tracked, and completed on time.
  • Follow-Up & Accountability: Monitor deadlines and follow up on outstanding items across multiple projects and stakeholders.
  • Communication Hub: Serve as a liaison between executives and internal/external stakeholders, ensuring timely and accurate communication.
  • Document Preparation: Draft, edit, and prepare correspondence, reports, and presentations with precision and professionalism.
  • Problem-Solving & Innovation: Anticipate needs, identify process improvements, and implement creative solutions to enhance efficiency.
  • Confidentiality: Handle sensitive information with the highest level of discretion and professionalism.
