About The Position

We are seeking a highly organized, proactive, and polished Executive Administrative Assistant to support day to day office operations while providing executive level administrative support. This role is a blend of front desk presence, operational coordination, and direct support to senior leadership. The ideal candidate is detail oriented, resourceful, and confident communicating across all levels of the organization.

Requirements

  • Experience in administrative, office management, or front desk roles
  • Strong proficiency in Notion or similar task/project management tools
  • Proven ability to manage multiple priorities and follow tasks through to completion
  • Excellent written and verbal communication skills; confident interacting with leadership
  • Highly organized, detail oriented, and proactive
  • Professional, discreet, and able to handle confidential information
  • Adaptable and comfortable in a fast pace, evolving environment

Responsibilities

  • Manage and maintain calendars for senior leadership, including scheduling meetings, coordinating availability, and handling time sensitive requests
  • Execute tasks and requests directly from the President and leadership team with accuracy and discretion
  • Track, manage, and follow up on tasks and projects across multiple stakeholders using Notion or similar tools
  • Maintain organized records, documents, and task boards with strong attention to detail
  • Oversee day to day office operations, ensuring a clean, organized, and efficient work environment
  • Monitor and order office supplies; assist with maintaining office equipment
  • Support internal coordination across departments to ensure smooth communication and workflow
  • Assist with event setup, office initiatives, and occasional holiday decor
  • Serve as the first point of contact for visitors, providing a professional and welcoming experience
  • Answer, screen, and route incoming calls; manage general inquiries via phone, email, and in person
  • Handle mail, packages, and deliveries
  • Book meeting rooms, travel, and resources as needed
  • Assist with data entry, filing, and general administrative tasks
  • Proactively identify and communicate issues, delays, or blockers
  • This role may include additional duties as assigned to support business needs and leadership priorities.
