About The Position

We are seeking a highly organized and self-motivated Executive Administrative Assistant to provide comprehensive support to the Mission Technologies Information Technology (MT IT) department. This role is critical in ensuring the smooth operation of key IT functions, including onboarding, visitor and guest building access, equipment processing, and more. The ideal candidate will demonstrate excellent communication skills, the ability to work both independently and as part of a team, and proficiency in managing various tasks simultaneously.

Requirements

  • 6 years relevant experience with Bachelors in related field; 4 years relevant experience with Masters in related field; or High School Diploma or equivalent and 10 years relevant experience.
  • MS Office Tool Suite
  • Excellent writing skills, ability to translate technical jargon into meaningful end-user communications

Responsibilities

  • Meetings: Coordinate and support CIO’s calendar and events, and departmental meetings, including scheduling, preparing agendas, and taking meeting minutes as needed.
  • Travel: Arrange travel for the CIO and MT IT leadership team. Prepare and process expense reports, ensuring accuracy and compliance with company policies.
  • Communications: o Ensuring communications and directives are properly cascaded to the MT IT team. o Processing IT Communications Requests: working with SMEs to determine content, drafting messaging, routing to management for approvals, and distribution.
  • Events: Coordinate and support departmental events (vendor, All Hands, Team Offsites, etc.)
  • Procurement: Entering purchase requisitions, ensuring accuracy and compliance with company policies.
  • Accounts Payable: Review invoices, ensure proper GL coding, and approval routing.
  • Onboarding: Coordinate and manage the onboarding process for new hires in the MT IT department, including setting up systems access, equipment, and relevant documentation.
  • Visitor & Guest Access: Manage visitor and guest building access for the MT IT department, ensuring security and compliance protocols are followed.
  • Supplies & Equipment: Manage ordering of office supplies and additional equipment for departmental functions
  • Verizon Wireless Portal: Work within the Verizon Portal for new or replacement device requests. This includes but not limited to mobile, desktop phones, Hotspots and tablets. Working within the standards of the company to support all Business Units and their mobile device needs
  • Records Retention: Maintain records for the department, ensuring compliance with retention policies and easy access to critical information.
  • Policy & Process Documentation: Coordinate and support all MT IT Policy & Process documentation development and review cycles.
  • Presentations: Support development of leadership team presentations.
  • Ad Hoc Assignments: Assist with various administrative tasks as needed, ensuring the department operates smoothly and efficiently.
