Learn more at https://www.jnj.com/medtech We are searching for the best talent for an Executive Assistant who will play a crucial role in supporting the Worldwide President, Biosurgery and other VP Leader(s) as required. This position requires a proactive individual capable of maintaining a highly professional and efficient office environment while exercising sound judgment and discretion. The successful candidate will be adept at independently assessing and resolving complex situations, demonstrating flexibility in response to shifting priorities.

Requirements

  • A minimum of a high school diploma is required. An Associate's Degree is preferred.
  • A minimum of 6 years of administrative experience is required.
  • Strong organizational skills and demonstrated ability to prioritize multiple projects and meet deadlines.
  • Customer and employee-focused and able to work under minimal supervision.
  • Team mentality with the ability to work independently and as part of a team in a fast-paced environment.
  • Proficient in Microsoft office programs (Word, Excel, PowerPoint, Outlook, etc.).
  • Excellent verbal and written communication skills, with exceptional interpersonal skills and ability to interact effectively with all levels of the organization.
  • Attention to details and good judgment to solve problems regarding project, department or division-related work.
  • Ability to be proactive and make suggestions to benefit the relationships with others, meetings, and the organization.
  • Demonstrated experience in working in a highly matrixed global organization.
  • Comfortable with ambiguity and adapt to changing business needs and priorities.
  • Discretion and professionalism to handle confidential information.

  • This role may require additional working hours outside of the regular business hours.
  • Occasional travel may be required to support off-site meetings and events.

Responsibilities

  • Prepare and manage correspondence, presentations, agendas, and other documentation as required by the leadership team.
  • Effectively manage and maintain calendars and communications, ensuring optimal scheduling of meetings.
  • Schedule and coordinate internal and external meetings, company visits, and video conferences using Outlook, Teams, Zoom, and other meeting technologies.
  • Organize and oversee domestic and international travel arrangements, including the preparation and completion of travel expense reports.
  • Interact professionally with internal and external management on a daily basis while handling sensitive and confidential documents and materials during in-person and virtual meetings.
  • Demonstrate strong organizational skills to multi-task and prioritize effectively in a fast-paced and matrix environment.
  • Ensure attention to detail and accuracy in all tasks and deliverables.
  • Utilize knowledge of company and division objectives, organizational structure, and policies and procedures to enhance efficiency and effectiveness.
  • Make recommendations for process improvements and workflow enhancements as appropriate.
  • Support event coordination efforts, overseeing logistics and execution of various organizational events, Town Halls and meetings.
  • Global Strategic Marketing liaison including communication to the team and support staff to shape a cohesive team
  • Responsible for managing campus budget for campus meetings, campus catering, events, etc.
  • Contact the Cincinnati campus for any relevant information required
  • Sponsor for GSM contractors on the team including preparing annual Pos
  • Employee Business Resource Group liaison for scheduling quarterly meetings, communication, year-end event, distribution list
