About The Position

We are seeking a highly organized, proactive, and mission-driven Executive Administrative Assistant to support senior leadership at Temple Beth El. This role supports the executive team and helps make sure communication and coordination run smoothly across staff, congregants, board members, and community partners. The ideal candidate is a skilled multitasker, a natural problem-solver, and someone who thrives in a fast-paced, people-centered environment. You will manage complex calendars, coordinate meetings and events, maintain organized files and documentation, support communications, and help ensure priorities are tracked and executed efficiently. This is a highly visible role that requires professionalism, discretion, warmth, and a strong service mindset aligned with our congregational values.

Requirements

  • Experience in executive or administrative support roles
  • Strong organizational and time management skills
  • Excellent written and verbal communication abilities
  • High attention to detail and strong follow-through
  • Proficiency in Microsoft Office Suite, especially Excel required
  • Ability to manage multiple priorities in a dynamic environment
  • Professional discretion with confidential information
  • Strong interpersonal skills and a service-oriented mindset
  • High school diploma required
  • This position requires Level 2 background screening pursuant to Chapters 435 and 402, Florida Statutes, including fingerprinting and screening through the Florida Care Provider Background Screening Clearinghouse. Responsibilities

  • Provide high-level administrative support to leadership
  • Manage complex calendars, scheduling, and meeting coordination
  • Serve as a liaison between executives, staff, congregants, and community stakeholders
  • Draft, edit, and manage correspondence, reports, and presentations
  • Coordinate logistics for meetings, committee work, and synagogue events
  • Track priorities, deadlines, and follow-ups to ensure timely execution
  • Anticipate needs and proactively resolve scheduling or operational challenges
  • Support congregational communications and engagement as needed
  • Maintain organized records, files, and documentation systems
  • Use Microsoft Excel and other Microsoft Office tools to track data, schedules, and projects
  • Ensure a welcoming, responsive, and professional experience for all interactions
