Primary Function The Executive Administrative Assistant provides high-level administrative support to VP and Director-level leadership within Dacon. This role is the operational backbone of the executive office — managing schedules, coordinating communications, organizing meetings and travel, and ensuring leaders can focus on what matters most. The ideal candidate is proactive, discreet, highly organized, and comfortable working in a dynamic, project-driven environment. The position will be based in our Deer Park, Texas office located at 1300 Underwood Rd, Deer Park, TX 77536.

Requirements

  • High school diploma or equivalent; minimum of 3 years of experience as an Executive or Administrative Assistant, including at least 1 year supporting a senior leader.
  • Proficiency in Microsoft Office Suite (Outlook, Word, Excel, PowerPoint) and Teams.
  • Proven ability to manage multiple priorities and executives simultaneously in a fast-paced environment.
  • Strong written and verbal communication skills with close attention to detail.
  • Professional demeanor with the ability to interact confidently with senior leadership, clients, and external partners.
  • Demonstrated ability to handle confidential matters with integrity and discretion.
  • Ability to work independently and anticipate the needs of senior leadership.
  • Willingness to learn construction industry terminology, processes, and tools as needed to effectively support senior leadership.
  • Ability to sit for extended periods while working at a computer.
  • Frequent use of hands and fingers for typing, writing, and operating office equipment.
  • Ability to communicate effectively verbally and in writing.
  • Ability to occasionally stand and walk within an office environment.
  • Ability to lift up to 10 pounds occasionally.

Nice To Haves

  • Bachelor’s degree in Business Administration, Communications, or a related field; equivalent professional experience of 4 or more years may be considered in lieu of a degree.
  • Experience supporting VP or Director-level executives in a construction, EPC, or field operations environment.
  • Familiarity with project management tools or construction management software
  • Experience with expense management platforms such as Concur or Ramp.
  • Familiarity with high-voltage or utility construction projects.

Responsibilities

  • Manage complex calendars for multiple VPs and Directors, including scheduling internal and external meetings, resolving conflicts, and anticipating scheduling needs.
  • Coordinate domestic travel arrangements, including flights, hotels, ground transportation, and itineraries.
  • Prepare, proofread, and format correspondence, reports, presentations, and other documents on behalf of leadership.
  • Serve as a communications liaison — screening calls and emails, drafting responses, and routing inquiries appropriately.
  • Act as a liaison between executives, internal teams, clients, and external stakeholders.
  • Maintain organized electronic and physical filing systems for contracts, correspondence, and project documents.
  • Coordinate with project teams, HR, and operations staff to support cross-functional initiatives as directed by leadership.
  • Support onboarding logistics and office coordination as needed.
  • Organize and support executive meetings, including preparing agendas, taking minutes, tracking action items, and following up on deliverables.
  • Ensure timely communication of action items and deadlines.
  • Facilitate communication across departments such as engineering, field operations, and finance.
  • Arrange complex travel itineraries, including site visits and client meetings.
  • Coordinate logistics for conferences, site inspections, and leadership events.
  • Process expense reports and invoices; track and reconcile leadership budgets and purchasing cards.
  • Handle sensitive and confidential information with the utmost discretion.
  • Improve administrative processes to increase efficiency.
  • Perform special projects and complete other duties as assigned or requested.
  • Enable VP and Director-level leadership to focus on strategic priorities by proactively managing executive schedules, correspondence, and administrative demands.
  • Serve as a trusted information hub that keeps internal teams, clients, and leadership aligned and informed.
  • Ensure accurate and accessible documentation that supports smooth operations across engineering, field operations, and finance.
  • Enhance organizational efficiency through continuous improvement of administrative systems and processes.
  • Represent the professionalism and values of Dacon in every interaction with internal and external stakeholders.
