So, if you’re looking to do big work in a small-team environment, Midrex is just the place for you.QualificationsPosition Summary: The Executive Administrative Assistant – Operations at Corporate Office will provide administrative support to the Operations department including the Chief Operating Officer, Vice President – Operations, Director – Engineering, Director –Procurement and other department teammates as necessary.

Requirements

  • Excellent organizational skills and attention to detail.
  • Ability to organize and prioritize tasks including delegation of tasks when appropriate.
  • Ability to organize and coordinate work assignments.
  • Excellent interpersonal skills and ability to interface with all levels of employees.
  • Flexible and adaptable in various situations and when interacting with many different personalities.
  • Microsoft Office Suite Excel, Word and PowerPoint experience.
  • Bachelor's degree from an accredited university OR minimum of 5 years’ office experience.
  • Prolonged periods of sitting at a desk and working on a computer.

Nice To Haves

  • Knowledge of visas and/or passport process
  • Advanced Microsoft Office Suite experience
  • Basic understanding of Canva

Responsibilities

  • Organize and prepare for meetings, including maintaining conference room schedules, arranging catering, gathering documents, attending to logistics of meetings, and preparing meeting minutes when necessary
  • Assist with travel planning (international and domestic travel arrangements) Including air, hotel, and ground transportation.
  • Maintain a good working relationship with our travel agency representatives’ vendors.
  • Assist in obtaining visas and/or new passports.
  • Complete expense reports for department executives and other department teammates as necessary.
  • Monitor the timeliness of departmental expenses to ensure adherence to company expense policies.
  • Manage scheduling for department executives.
  • Assist with preparation of presentations, correspondence and reports.
  • Provide scheduled coverage of front reception desk while greeting visitors, answering and transferring phone calls.
  • Assist other departments and teammates during heavy work periods, as needed.
