About The Position

The Executive Administrative Assistant for Shriners Children’s Research Institute (SCRI) reports to and provides primary administrative and operational support to the Director of SCRI who is responsible for the oversight of the Research Institute. The Executive Administrative Assistant coordinates all official correspondence requiring the Director of SCRI’s approval and dissemination. The Executive Administrative Assistant effectively manages multiple projects, programs and initiatives within the institute as directed, understands the requirements of the other members of the institute, and prioritizes allocation of the executive’s time when discerning scheduled events or meetings. The Executive Administrative Assistant will demonstrate willingness and ability to be flexible, function as a team player, multi-task, and prioritize assignments to meet time-sensitive deadlines. The Executive Administrative Assistant demonstrates/exhibits excellent communication skills, verbal and written, as well as professional acumen in interpersonal interactions.

Requirements

  • 2-4 years of executive-level administrative support, research administration, operations coordination or a related professional environment
  • Bachelor's Degree in Accounting, Finance, Business Administration, etc

Responsibilities

  • Serve as the on-site administrative lead for the Shriners Children’s Research Institute (SCRI), providing comprehensive administrative and operational support in a newly established and rapidly growing research environment.
  • Provide direct administrative support to the Director of SCRI, including calendar management, meeting coordination, prioritization of requests, and management of competing demands on executive time.
  • Coordinate all official correspondence requiring review, approval, or dissemination by the Director or SCRI leadership.
  • Maintain a consistent on-site presence to support daily operations, serve as a point of contact for visitors, and ensure smooth coordination of activities within the Research Institute.
  • Greet and coordinate with contractors, vendors, consultants, visiting scientists, and institutional partners involved in the development and operation of the SCRI facility.
  • Support planning and logistics related to the build-out of laboratory and office space, including scheduling, access coordination, and communication with internal and external stakeholders.
  • Assist with onboarding and support of new scientific staff, investigators, and research personnel, including coordination of workspace, meetings, and on-site needs.
  • Coordinate and support on-site meetings, recruitment activities, site visits, and institute-hosted events.
  • Process and track administrative items such as expense reports, reimbursements, and other documentation for the Director and leadership as required.
  • Manage multiple projects, initiatives, and deadlines simultaneously in a fast-paced and evolving environment.
  • Demonstrate flexibility, sound judgment, and the ability to adapt to changing priorities inherent in a growing research institute.
  • Maintain a high level of professionalism, discretion, and confidentiality in all interactions.
  • Exhibit strong written and verbal communication skills and the ability to work effectively with executive leadership, scientific staff, and external partners.
