Requirements

  • Minimum of 6+ years of relevant experience.
  • High School degree or equivalent years of industry experience; Bachelor's degree is a plus.
  • Exceptional customer service skills and attention to detail.
  • Superior writing skills, including grammar, punctuation, spelling, and proofreading.
  • Superior verbal and written communication skills.
  • Strong organizational and project management skills.
  • Ability to demonstrate discretion on highly confidential matters.
  • Advanced level computer literacy in Microsoft Office Suite and other applicable programs.

Responsibilities

  • Respond promptly and effectively to work requests from senior leaders.
  • Create and maintain Distribution Groups.
  • Schedule and facilitate meetings, securing room reservations and food ordering/delivery as necessary.
  • Act as a primary point of contact for the team, independently seeking answers and solving problems.
  • Assist with overflow work from other areas of the business and provide backup support to other Administrative Assistants as necessary.
  • Prepare, produce, and proofread advanced level presentations and correspondence, ensuring clarity and accuracy.
  • Submit printing requests for meetings and ensure accuracy of printed materials before distribution.
  • Research and book travel arrangements.
  • Prepare and submit expense reports accurately.
  • Record time and submit according to corporate guidelines.
  • Attend business town halls and coordinate presentations for client and internal meetings.
  • Serve as an expert resource for Aon branding.
  • Maintain OneDrive files, databases, or SharePoint sites as applicable.
  • Prioritize work and deliver quality results on assignments.
  • Coordinate complex meeting logistics, including budgeting and catering.
  • Actively participate in leadership meetings for follow-ups and note-taking when applicable.
  • Delegate email management, time recording, and calendar management as necessary.
  • Coordinate projects and work independently.
  • Compose materials from rough notes or independent knowledge of circumstances.
  • Act as a liaison between the executive and their colleagues, clients, and other stakeholders.
  • Strategically solve problems and establish procedures for process improvements.
  • Assist Administrative Operations Managers with special initiatives and workstreams.
