About The Position

The Executive Administrative Assistant at Top Notch Products, Inc. is responsible for providing comprehensive support to the executive team, primarily the CFO. Requirements

  • Proven experience in an executive administrative support role or similar capacity.
  • Strong office management skills with the ability to prioritize tasks effectively.
  • Proficient in calendar management and scheduling software.
  • Excellent computer literacy with proficiency in Microsoft Office Suite (Word, Excel, PowerPoint) and familiarity with DocuSign.
  • Exceptional phone etiquette and interpersonal communication skills.
  • Detail-oriented with strong proofreading abilities to ensure high-quality documentation.
  • Ability to work independently as well as collaboratively within a team environment.

Responsibilities

  • Provide executive administrative support to senior management, including managing calendars, scheduling meetings, and coordinating travel arrangements.
  • Handle incoming communications with professionalism, including phone calls and emails, ensuring timely responses and appropriate follow-up.
  • Prepare and edit correspondence, reports, and presentations with a keen eye for proofreading and accuracy.
  • Maintain organized filing systems for both physical and digital documents, utilizing tools such as DocuSign for document management.
  • Assist in office management tasks, ensuring the workspace is well-maintained and equipped with necessary supplies.
  • Coordinate logistics for meetings and events, including preparing agendas and taking meeting minutes as needed.
  • Support various clerical duties such as data entry, document preparation, and maintaining office records.
  • Provide personal support for the CFO as needed, including pet care, errands, and home maintenance coordination.
