About The Position

The Diocese of Corpus Christi is hiring an Executive Administrative Assistant for the Office of the Bishop. The primary responsibility of the Executive Administrative Assistant to the Bishop is to assist in carrying out the duties of the Office of the Bishop. The work within this office is done in a faith-based environment. All work tasks are assigned by the Bishop or the Bishop’s designee. Duties are to be performed in a cooperative manner and with a Christian spirit which contributes to a pleasant work environment for all employees and efficient, effective service to the Diocese of Corpus Christi. Ministerial Character: The Diocesan Bishop is the visible principle and foundation of unity in the particular Church (“the Diocese”) entrusted to him. In a unique and visible way, he makes Christ's mission present and enduring as the Shepherd of the Christian Community. In order to fulfill his mission, the Diocesan Bishop employs suitable, chosen collaborators, who are clerics, religious, and lay people. He shares with them the apostolic mission and entrusts various responsibilities to them. Each position employed in the Diocese of Corpus Christi helps to extend the ministry of the Diocesan Bishop in particular ways as outlined in the job duties and responsibilities. Therefore, this position is closely connected to and assists the Diocesan Bishop in the performance of his ministry and thereby engages in ministry for the church. As an integral part of your ministry for the Church as carried out in this position, support and uphold the philosophy of Catholic ministry and the mission of the Diocese of Corpus Christi in both your professional and personal life Act as a witness to Gospel values by modeling the teachings of the Catholic Church Continuously grow in your ministry by participating in religious ceremonies, training sessions, and reflection activities as directed Coordinate the Bishop’s schedule including maintaining his professional and personal calendars, and coordinating travel arrangements (domestic and international), and attending events and meetings with him as assigned Coordinate meetings and other functions on behalf of the Office of the Bishop, including securing venues, facilitating invitations, preparing materials, and other planning processes to ensure successful execution Gather and organize information and materials for meetings, special projects, and events Manage department budget and perform basic accounting processes, including expense reimbursements and invoice payments Maintain accurate files for Office of the Bishop; ensure confidentiality of records Work collaboratively with diocesan staff, department heads, consecrated persons, and priests; communicate requests, tasks, instructions as requested on behalf of the Bishop Communicate with external agencies and community members on behalf of the Office of the Bishop as requested Assist the Bishop with written correspondence including emails, letters, and presentation materials Provide general administrative support for the Office of the Bishop, including receiving and routing phone calls, receiving and processing mail, greeting visitors, maintaining general office supplies and equipment, and maintaining accurate official records (electronic and physical) Maintain work schedule that maximizes availability to the Bishop, priests, and diocesan staff Perform other duties as assigned Organization Improvement and Morale: Demonstrates a professional attitude as a member of diocesan staff Maintains confidentiality in matters of assigned department and the diocese Serves as a representative of the diocese displaying courtesy, tact, positivity, and discretion in all interactions with colleagues and community served Carries out commitments made to diocesan colleagues and community served Employs professional ethics in relationships with diocesan colleagues and community served Positively contributes to the overall mission and values of the Diocese of Corpus Christi to promote a positive organizational culture Follows diocesan policies and procedures Mental and Physical Demands: Ability to carry, pull, push, lift, or move objects 10 pounds or more Ability to maintain composure under duress Ability to maintain confidentiality Prolonged use of computer Repetitive hand motions Qualifications

Requirements

  • High School Diploma or equivalent required; Associate’s or Bachelor’s degree preferred
  • Minimum of 5 years of experience in an office environment
  • Valid Texas driver's license required
  • Practicing Catholic in good standing required
  • Demonstrated knowledge of and experience with diocesan policies and procedures
  • Spanish-speaking
  • Strong oral and written communication skills
  • Strong interpersonal skills with the ability to interact with a diverse population with tact, empathy, and professionalism
  • Ability to handle multiple projects and prioritize tasks in a fast-paced environment
  • Detail-oriented and organized
  • Strong critical thinking and problem-solving skills
  • Ability to work independently and be self-motivated
  • Ability to establish and maintain effective working relationships with colleagues and members of the diocesan community
  • Ability to maintain confidentiality and use discretion
  • Strong skills in the use of computer hardware and basic office software including Microsoft Office Suite
  • Must successfully complete pre-employment screening, including criminal history background check, motor vehicle record review (MVR), and drug screening
  • Certification in Safe Environment training provided by the Office for Safe Environment and Child & Family Resources is required
  • Must adhere to all diocesan policies and procedures
