About The Position

The Executive Administrative Assistant position at QinetiQ US involves providing high-level administrative support to senior Department of Defense (DoD) leaders within a major DoD Acquisition Agency. The role requires a motivated individual with a strong background in executive support, particularly for Senior Executive Service (SES) or Flag/General Officers. Requirements

  • BA/BS and 6 years' experience in administrative/business field OR AA and 8 years' experience in administrative/business field.
  • 3 years' experience supporting CEO level military equivalent (SES or Flag Office).
  • Secret Clearance required.
  • 6 years' experience in senior executive level administrative support.

  • Expert in preparing, reviewing, and coordinating executive level correspondence.
  • Expert in handling Controlled Unclassified Information (CUI), For Official Use Only (FOUO), and Classified information.
  • Expert in government records and database management processes.
  • Expert in government travel processes and systems.

Responsibilities

  • Manage executive office in accordance with Agency policy, including telephone coverage and message management.
  • Receive, review, reproduce, and distribute written material, ensuring quality control of content.
  • Post and retrieve documents from the unclassified and classified MKO Portal.
  • Assist with bi-weekly timecards for Government employees in the approved timekeeping database.
  • Develop schedules for routine administrative duties and maintain office records.
  • Provide access control services for executive and senior leadership.
  • Prepare domestic and international travel in accordance with JFTRs and FTRs using DTS.
  • Prepare and coordinate executive level correspondence for leadership.
  • Maintain executive level schedules and calendars.
  • Schedule and support executive and senior leadership meetings.
