About The Position

We are seeking a highly motivated individual for the role of Executive Administrative Assistant to join the Mission Systems Administrative Support Department. This position will support multiple leaders in the fast-paced Mission Systems senior leadership team and HR. This will be an onsite position, located in Cedar Rapids, IA. The ideal candidate will work independently, be a self-starter, and be able to work in a highly collaborative, virtual and versatile environment handling an array of duties and responsibilities with particular focus on time management and multi-tasking abilities. The candidate will be confident and capable in the execution of critical office decisions, effective and flawless with calendar management (resolving any conflicts efficiently), management and disposition of executive e-mail, professional support of virtual meetings, scheduling of all aspects of travel (domestic and international), accurate and timely processing of expense reports, event and meeting preparations to include booking conference rooms, coordinating catering, prioritizing tasks, and preparing documents and presentations.

Requirements

  • Typically requires an AA/AS degree (or other 2-year post high school training) with a minimum of 6 years of relevant experience.
  • U.S. citizenship is required, as only U.S. citizens are authorized to access the financial management system due to government contractual requirements.
  • Experience working for a large, complex organization.
  • Must have experience with heavy calendar management.
  • Must have experience scheduling domestic and international travel.

Nice To Haves

  • Proficient with Microsoft office suite (PowerPoint, Excel, Outlook).
  • Experience working for a global company, including experience supporting the executive or C-suite level.

Responsibilities

  • Partner with executives to efficiently manage calendars, including scheduling meetings with precision and producing a concise and well-organized calendar.
  • Plan and book travel, including researching options with travel partner, sourcing restaurants as needed, booking transport and making other arrangements.
  • Handle room bookings, technology logistics and food orders for team meetings. Assemble and manage meeting presentations through Zoom as needed.
  • Communicate with a broad range of RTX professionals, external partners, and prospective employees on behalf of the department. Handle confidential information and interactions with sensitivity.
  • Process expense reports on behalf of executives and provide ad hoc support as needed.
  • Create and manage weekly/monthly/quarterly department reports that document activities. Collect inputs and synthesize for VPs to efficiently flow down information.
  • Manage logistics for key engagement events such as Town Halls, skip level meetings, regular staff meetings, or other key internal events for VP's direct reports.
  • Provide backup coverage for other Executive Admins as necessary.
