Global Merchant & Network Services primarily focuses on the businesses that accept our cards. We bring together the businesses that manage and evolve the company's relationships with the millions of merchants around the world that accept American Express, as well as the team that runs the company’s payment network and manages bank partnerships globally. GMNS Product drives the development of new payment services and products for the American Express Global Network Issuers, Acquirers and Merchants and is responsible for the operation of the payment network, safely and securely processing more than ~$1.6 trillion in transaction volume globally each year. The Network Product & Enablement team is a critical part of the GMNS Product organization. Our remit spans the maintenance of existing functionality, the development of new products and services, operating the Network and managing the end-to-end partner lifecycle. Our solutions deliver value to American Express’ Card Members, acquirers and partners across the globe, whether proprietary or third-party by facilitating secure and seamless transactions between American Express’ issuers, acquirers and merchants. This position is an integral part of the team and requires a proactive, organized, and resourceful Executive Assistant who can handle a wide range of administrative tasks and confidently navigate a large organization.

Requirements

  • Ideal candidate should have previous experience as an Executive Assistant
  • Excellent calendar management skills across time zones
  • Ability to quickly adapt and be flexible in a dynamic workplace
  • High level of integrity required for handling sensitive and confidential information
  • Strong interpersonal, relationship and networking skills to build and maintain effective professional relationships across all areas of the organization
  • Highly organized with an ability to demonstrate keen attention to details, adaptability, flexibility, resourcefulness and efficiency
  • Demonstrated ability to take the initiative to spot problems before they arise, find solutions, and provide timely follow-through on projects
  • Demonstrated ability to work with a sense of urgency and under pressure, as needed to handle multiple tasks and prioritize effectively
  • Strong proficiency with MS Office, including Word, Excel, PowerPoint and Outlook required

Nice To Haves

  • Experience with Ariba, Concur, Dayforce and other AMEX systems preferred
  • Commitment to ongoing learning and development
  • Bachelor degree preferred.

Responsibilities

  • Organizing and proactively maintaining calendars for two Vice Presidents, including scheduling meetings across multiple time-zones, using a high level of tact and integrity
  • Assisting with appropriate email delegation, booking meetings, and reacting and corresponding on behalf. Prioritizing what is important and urgent. Acknowledging receipt/replies etc.
  • Coordinating conferences and staff meetings, including room booking, catering, security etc.
  • Organizing external business meetings, making all necessary arrangements including sending invites, reserving rooms, Webex setup, etc.
  • Coordinating travel arrangements and logistics (hotel, visa, rental car, and other travel-related needs)
  • Processing monthly expense reports and reviewing expense reports for approval
  • Assisting with on and off boarding and new employee logistics
  • Tracking timekeeping for team
  • Working closely with other administrative assistants on office operations and providing back-up support when needed
  • Maintaining headcount reporting, organizational charts, and department distribution lists
  • Managing the procurement of office supplies and other departmental needs
  • Supporting ad hoc project work as directed by leadership
