Requirements

  • 4+ years office administration experience required.
  • Previous experience as travel agent preferred.
  • Associates degree or equivalent combination of education and/or experience required.
  • Must possess exceptional communication skills.
  • Must possess high level of professionalism, confidentiality and discretion.
  • Must possess strong administrative and organizational skills.
  • Must be able to multi-task and work under pressure and tight deadlines.

Responsibilities

  • Provide administrative support for the Executive Leadership Team and to the Investor Relations area.
  • Organize and maintain the Chairman's calendar, including scheduling meetings, appointments, travel arrangements, and events.
  • Prioritize and resolve conflicts in the schedule.
  • Handle all schedules and materials for quarterly board meetings.
  • Book flights, accommodations, and transportation for business trips. Ensure all logistics are handled smoothly and efficiently.
  • Manage incoming and outgoing communications, including emails, phone calls, and letters.
  • Draft responses and prioritize important matters.
  • Prepare reports, presentations, meeting agendas, and other documents required by the Chairman.
  • Ensure all materials are accurate and well-presented.
  • Act as a liaison between the Chairman and Board members, facilitating communication and ensuring timely responses to Board-related matters.
  • Handle sensitive and confidential information with discretion, including company strategy, financials, and personnel matters.
  • Conduct research and provide summaries on key issues relevant to the Chairman, including market trends, industry updates, and competitor analysis.
  • Maintain an organized filing system for documents and records related to the Chairman's activities.
  • Assist with personal tasks, such as managing the Chairman's personal calendar, booking personal appointments, or organizing family events.
  • Manage any personal or business-related errands, ensuring the Chairman's day runs smoothly.
  • Ensure the Chairman's tech and communication tools are running smoothly, from managing digital calendars and documents to troubleshooting any technical issues.
  • Proactively work to assist others in achieving the organization's objectives.
