About The Position

We are seeking an Executive Administrative Assistant to join Ericsson's Legal Affairs team (part of Group Function Legal Affairs & Compliance), providing high-level administrative support for the Head of Legal Affairs for Market Area North America (MANA) and the Head of Global Contracting Excellence & Sourcing and their respective teams. In this pivotal role, you will coordinate and oversee administrative activities for the legal team, acting as a trusted advisor and representative for your unit. This role offers a unique opportunity to work closely with the Global Legal Affairs team and other business units within MANA. You will be able to elevate your administrative skills to a strategic level, driving organizational excellence through critical thinking in the core functions and processes of the business.

Requirements

  • 6+ years minimum experience as an Administrative Assistant, including 2+ years minimum experience as an Executive Administrative Assistant or with Chief of Staff responsibilities. Prior experience working with legal teams is a plus.
  • Excellent interpersonal and communication skills with executive presence, with the ability to articulate complex ideas clearly and concisely to diverse audiences, whether in person or remote.
  • Advanced proficiency in the Microsoft Office Suite, including MS Teams, PowerPoint, and Excel with a demonstrated ability to leverage technology to enhance administrative processes.
  • Extensive experience in arranging complex schedules, managing time and logistics across multiple time zones, with a global perspective and understanding.
  • Self-driven professional with the ability to thrive independently, in teams, and in ambiguous situations.
  • Exceptional problem-solving skills, with a keen eye for structure and execution.
  • High integrity, strong work ethic, and the ability to maintain confidentiality while dealing with diverse groups of stakeholders.
  • Ability to excel in a large, international corporate environment, navigating complex organizational structures and driving collaboration across diverse teams and geographies.
  • Flexibility to communicate and complete tasks during non-traditional working hours on a limited basis, demonstrating a commitment to supporting organizational goals and objectives.
  • English fluency.

Responsibilities

  • Provide comprehensive administrative support and guidance, integrating strategic thinking into day-to-day activities, including calendar management, meeting management, and management of a host of decision-making processes and approvals, consistent with company policies and controls.
  • Prioritize and manage inquiries and requests, proactively troubleshooting conflicts, and providing strategic recommendations to optimize engagements.
  • Utilize exceptional organizational skills to oversee and support scheduling, call management, and decision-making processes, aligning them with the strategic goals of the organization.
  • Manage travel arrangements and associated planning, ensuring alignment with strategic objectives and optimizing executive time and resources.
  • Support expense reviews and reimbursements for the Head of Legal Affairs for Market Area North America (MANA) and the Head of Global Contracting Excellence & Sourcing and their respective teams.
  • Organize or assist in the preparation, execution, and follow-up of staff meetings, all-employee meetings, special events, training sessions, and workshops.
  • Handle administration of entry and exit of employees and consultants, as needed.
  • Format and proofread Word documents, Excel spreadsheets, and PowerPoint presentations.
  • Provide strategic support in the utilization of Ericsson's current administrative tools and processes and drive continuous improvement to administrative processes with a focus on streamlined operations to enhance organizational effectiveness.
  • Collaborate, network, and communicate effectively with other assistants within and outside the organization, fostering synergies and sharing best practices.
  • Contribute to and coordinate activities in different projects in the administrative area. Act as an expert for administrative support systems whenever needed. For example, authorize purchase orders and invoices in line with authorization policies and routines.
  • Support and inform unit members about Ericsson internal administrative processes, systems and tools.
  • Additional tasks can be tailored to fit the ambitions of the right candidate (e.g., assisting with design of presentations, project management tasks, special projects, etc.)
