About The Position

The Exclusive Medical Assistant is responsible for providing both administrative and clinical support to physicians and other healthcare practitioners to ensure the smooth operation of the clinic. This role includes coordinating patient flow, conducting patient workups, preparing exam rooms, performing basic patient care tasks, and supporting the healthcare team in providing high-quality patient care.

Requirements

  • High School Diploma or GED required, no prior experience necessary.
  • Ability to perform effectively in a high-stress, physically demanding environment.
  • Understanding of healthcare regulations, including HIPAA confidentiality and infection control measures.
  • Proven track record in delivering exemplary customer service, with strong client relationship management and job knowledge.
  • Excellent verbal and written communication skills.
  • Proficient in manual dexterity, with precise control and steady hand movements.
  • Demonstrated empathy and sensitivity towards patients and commitment to maintaining patient confidentiality.
  • Willingness to travel as needed for the role.
  • Basic proficiency in medical terminology and clinical procedures.

Responsibilities

  • Follow assigned providers to scheduled clinic and ASC locations as needed.
  • Prepare patient charts for upcoming appointments and ensure all necessary documentation is available.
  • Completes chart prep in accordance with the chart prep policy.
  • Completes charts in required time (24-48 hours).
  • Manages tasks by contacting patients, pharmacies and communicating with providers and other staff.
  • Completes tasks in accordance with tasking policy.
  • Review patients' history of present illness (HPI) and update records accordingly.
  • Order patient referrals as needed and ensure follow-up documentation is received in a timely manner.
  • Coordinate and prepare medical records release forms and act as a liaison between the nurse line and providers to facilitate patient communication.
  • Obtain patient imaging prior to appointments when applicable.
  • Explain treatment procedures, medications, diets, and physician instructions to patients to ensure understanding.
  • Assist in general office duties and maintain a clean, organized work environment.
  • Clean and sterilize medical instruments and properly dispose of contaminated supplies.
  • Support physicians during patient exams by handing instruments and performing tasks such as administering injections or other basic care.
  • Secure and maintain patient information in compliance with HIPAA and other regulations, including completing Medication Reconciliation and safeguarding medical records.
  • Respond to messages to support revenue cycle staff with billing and/or documentation.
  • Provide safe patient handling and ensure patients are comfortable and well-prepared for their visits.
  • Collaborate with clinical operation managers and office managers to identify areas for improvement in clinic processes.
  • Perform other duties as assigned.
