About The Position

The Education & Workforce Services (EWS) Contracts Specialist is a critical role within the fiscal department that focuses on financial operations and contractual compliance, adheres to internal controls, and maintains fiscal compliance in all tasks. This position acts as the primary liaison for the assigned programmatic division (EWS) and requires strong financial acumen, attention to detail, and effective collaboration with internal and external stakeholders. The EWS Contracts Specialist manages advances, adjusts journal entries, and reconciles accounts to the General Ledger (GL). This position ensures contractual compliance with invoices, supports budget preparations, reconciles Advance Pay accounts, and prepares monthly fiscal reports, such as cost reimbursement and performance-based analyses. Additionally, the EWS Contracts Specialist communicates and coordinates with program staff regarding expenses, budgets, and advances. This position reports to the Vice President of Fiscal Operations. This is a Hybrid position. Requirements

Associate’s degree required, Bachelor’s degree a plus.
3 years’ experience in accounts receivable, accounting, or related field required.
Mandated Reporter and Supporting Children and Families with Disabilities training certificates required and may be completed post hire.

Nice To Haves

Experience in nonprofit accounting a plus.
Bilingual (Spanish/English) written and verbal skills a plus.

Responsibilities

Records Employee Advances receipts, ensuring accurate transaction postings to the GL under Employee Advances Payments, compliance with internal controls and timely processing.
Assists in reconciling contract files and advance postings in accordance with the Fiscal Policy for Advances, reporting issues to the Fiscal Grants & Contracts Coordinator.
Ensures contract files are current, complete, and compliant with fiscal processes and deadlines.
Reviews and communicates contract regulations to program staff.
Monitors advances, addresses discrepancies, and collaborates with staff to ensure accuracy.
Regularly reviews contract spending and updates supervisor and divisional leadership.
Reviews transactions, records adjustments, and assists with invoicing.
Closes out completed contracts with input from the Budget Analyst and Fiscal Grants & Contracts Coordinator.
Prepares, reviews, and presents fiscal materials for divisional fiscal meetings, including Advance Pay reconciliations.
Establishes and maintains relationships with funders and external contacts as appropriate.
Promptly records journal entries for advances and other expense adjustments.
Prepares CRECA reports.
Serves as a backup for posting cash receipts for Congreso and its subsidiaries.
Supports other fiscal functions as needed.
