About The Position

Reporting to the Associate Director, Community Philanthropy and Engagement, the Events Specialist, Community Philanthropy and Engagement plays an important support role within the Community Philanthropy & Engagement team by supporting the department with tasks related to both upcoming events and the department's operations. Additionally, the Community Philanthropy & Engagement Coordinator is responsible for a small portfolio of independently managed third party community partner events supporting The James/OSUWMC. As a liaison to these third party community partners, the Community Philanthropy & Engagement Coordinator will develop plans, make decisions and implement those events in partnership with community members, donors, and volunteers. The Community Philanthropy & Engagement Coordinator also provides on-site assistance for other departmental events as needed. The Events Specialist is expected to have strong customer service, organizational, multi-tasking, and time management skills, and experience working with Microsoft Office. Requirements

  • Bachelor's degree or equivalent experience in an appropriate field.
  • Ability to stand for long periods of time, lift 50 pounds occasionally and 25 pounds frequently.
  • Ability to work a flexible schedule including evenings and weekends.

Responsibilities

  • Operations and Office support: In partnership and in accordance with guidance from Advancement Events partners, executes event related and operational tasks that may include ordering event supplies, maintaining inventory, printing and organizing day of event materials (nametags, lists, etc.), sending and reviewing (RFPs), making sure data is captured in customer relationship management system (TAS), budget tracking, and sending surveys and compiling results. Provides on-site assistance with other departmental events as needed including set-up, registration, greeting, directional, tear-down; performs other duties as assigned.
  • Maintains a portfolio of small-scale, third-party events supporting The James/OSUWMC that are coordinated by community members, donors, and volunteers. When appropriate, partners with major gift officers to develop community donor relationships and increase donor prospects from community participants and organizers. Manages incoming requests for fundraising events and cause-related marketing initiatives, collaborates with marketing and legal teams to evaluate and execute agreements and uphold brand guidelines. Manages tracking system for donor contacts, community partners event income, resources, funds supported, speakers and committee members. Represents the James/OSUWMC at community events, as appropriate, to acknowledge and thank our supporters. Develops and oversees the budget related to assigned community events and receipt process of donors, including fiscal reporting. Using Community Partners Guidelines, communicates with donors and community supporters on coordination of external events and donation process. Facilitates use of appropriate language, reference and logos for all external event promotional items. Manages speaking requests and arrangements for The James/OSUWMC representatives. Corresponds with donors and supporters from initial contact through follow-up and acknowledgement.
  • Works on special projects and other duties as assigned.
