About the position

The Events and Operations Coordinator at Harvard Kennedy School is responsible for providing exceptional customer service and performing various administrative duties to support the operations of the Campus Planning and Operations department. This role involves coordinating events, managing work orders, and assisting with the daily operations of HKS's Main Campus and off-site locations, ensuring seamless event execution and high-quality service delivery.

Responsibilities

  • Answer Operations and events Help Desk/Emergency phone and provide information or redirect calls as necessary.
  • Coordinate work order database, including prioritizing, quality control, work assignment, and work order close-out.
  • Process all requests for building services, ensuring they are received, processed, assigned, and closed out by the operations center.
  • Run work order reports to track outstanding orders and follow up on their status for completion.
  • Work with Room Reservations in the Event Management System, especially during peak times, and coordinate operational event needs with work orders.
  • Manage student conferences by meeting with organizers 6-8 weeks prior to the event to assist in planning and staffing.
  • Attend event management meetings and walkthroughs as needed, and manage events-related signage.
  • Track large events through the Wes Meeting Agenda, producing agendas weekly and attending meetings.
  • Process vendor invoices, credit vouchers, and P-Card transactions; order supplies and reconcile budgets.
  • Provide administrative support to CPO leadership and staff, including document management, scheduling, and financial transactions.
  • Contribute to department goals by coordinating CPO alert emails, building signage, and special projects.

Requirements

  • Minimum of three years of customer service and administrative support work experience required.
  • Comprehensive knowledge of Microsoft Office applications (Word, Excel, PowerPoint, Outlook).
  • Ability to manage multiple assignments simultaneously and prioritize competing tasks.
  • Knowledge of Aware Manager, EMS, and Witts Mailroom preferred.
  • Working knowledge of audio-visual hardware, software applications, and video conference technologies.
  • Excellent written and verbal communication and interpersonal skills.
  • Demonstrated team player experience and excellent organizational skills.

Nice-to-haves

  • Bachelor's degree or an equivalent combination of education, training, and experience preferred.
